Roles, responsibilities, and campus access

OCR for Schools is the school management product in OneClickRooms (OCR) for Education. The other product is OCR for Higher Education.

See which school roles manage setup, daily operations, student work, and parent access.

OCR for Schools shows each account only the functions allowed by its role and assignments. Some staff can hold more than one campus role; the portal combines those allowed capabilities while retaining each campus boundary.

Before you begin

  • Accounts should be issued only to people who need the role for their school duties.

Identify the role and campus responsible before starting a workflow.

  1. Institution Admin

Manages institution-wide administration and settings. Institution Admins are employee accounts marked during employee setup and are not eligible for campus-role assignments.

  2. Campus Admin

Runs the assigned campus operations, including academic setup, students, schedules, facilities, and approvals available for that campus.

  3. Finance and Examinations

Finance staff handle fee and account tasks. Examinations staff handle examinations, assessments, and related approval work. A staff member may receive additional capabilities through an assigned role.

  4. Teacher

Uses assigned classes and subjects for schedules, homework, student activities, and any academic tasks granted to the teacher account.

  5. Student and Parent

A student sees their own academic and service information. A parent account sees the student list explicitly assigned by the school; the parent role does not inherit staff access.

Do not share staff credentials

Use each person’s account so approvals, changes, and audit entries remain attributable to the correct user.

Campus boundaries

Campus staff actions are restricted to the assigned campus or campuses. Student, teacher, class, schedule, homework, examination, accommodation, finance, or sibling records outside that scope should not be accessible by changing a URL or selector.

Institution Admin access may cover institution-wide administration, but workflows can still require a designated campus approver or another assigned role. An employee without an assigned role sees a notice to contact institution management and no operational menu items.

When an item is unavailable

  • Confirm the active sign-in account and its role.
  • Ask an Institution Admin to check the campus or role assignment.
  • If an approval is pending, use the designated My Tasks or approval page rather than creating a duplicate record.

Institution, campus, and personal data boundaries

Campus roles apply only to the campus or campuses assigned to the employee. A staff member assigned the same authority at Islamabad and Lahore can handle that work in both assigned campuses; the assignment does not grant access to other campuses or institutions.

Student, teacher, board, department, subject, class, schedule, examination, finance, and campus-service records stay within their institution and campus scope. A student or teacher account sees its own campus context; campus staff with multiple assignments can work only in those assigned campuses. Each campus maintains its own board, subject, and department lists, even when another campus uses the same names.

Promotion authority follows the same campus assignment. An authority assigned at more than one campus can process students in each assigned campus, while the campus selector and student list remain limited to those assignments.
