OCR for Schools Support FAQs

Answers for school teams, students, and parents

OCR for Schools is the school management product within OneClickRooms (OCR) for Education, alongside OCR for Higher Education.

Browse common questions about daily class attendance, School Leaving Certificates, student separation, employee and teacher HR, contracts, staff leave, payroll, parent access, school schedules, examinations, student finances, and role-based workflows. Page availability depends on your school’s setup and account assignments.

Parent Accounts and Student Access

How does a parent get an account?
Authorized school staff create a parent account while assigning a student or a verified sibling linkage. The parent receives a secure setup link by email, sets a password of at least 10 characters, then signs in with the registered email and password.
What information is required to register a parent?
The school records the parent’s full name, 13-digit CNIC, mobile number, and valid email address. A parent photo ID upload is required and must be 5 MB or smaller. A portrait is optional; if uploaded, it must be JPG or PNG and no larger than 5 MB.
Can a student have more than one parent account?
No. A student can have only one active parent account assigned. School staff must revoke the existing access before assigning a different parent. A parent may be linked to multiple students.
How does the parent choose a student?
After signing in, the parent sees cards for assigned students on the Family Dashboard. Selecting a card opens that student’s dashboard. The shared student selector can switch to another linked student, and student pages then use the newly selected student’s records.
What can a parent do for a linked student?
The parent can use the student-facing pages and actions available to the selected student, including paying fees or submitting payment evidence, reviewing invoices and receipts, checking homework and results, viewing timetables and exams, and using other enabled student services. Access is limited to students assigned to that parent.
How are siblings linked to one parent?
School staff can verify a sibling linkage and assign a parent to that group. The linkage gives the parent access to its linked students. A student in an active sibling linkage is assigned through that linkage so the parent scope stays consistent.
Are parent and student passwords shared?
No. Parent and student accounts are separate sign-in identities. A parent uses their own email and password and does not sign in as the student.
Who can manage parent assignments and sibling linkages?
Campus Admin manages parent assignments and sibling linkages within assigned campus access. Institution Admin does not have access to the Sibling Linkage workflow.
Where is the parent’s uploaded photo shown?
The parent portrait supplied during account registration is used for the parent’s header photo and Family Dashboard. The photo ID document is retained as a separate secure attachment.
Do parents receive email copies sent to a student?
Portal emails addressed to a student are also copied to the linked parent when the assignment can be resolved. Password reset emails are excluded. Security notifications can be copied to the parent.

Student Cards and Verification

How do I download a student card?
In Manage Students, use Student Card on a student record within your authorized access. It downloads a PDF. Student logins are limited to their own card and staff downloads follow role permissions.
Does scanning a student card QR download the card again?
No. The QR opens a live verification page that shows the current student identity and record status.

Financial Hold and Student Finance

Does a Financial Hold also apply when a parent selects a student?
Yes. The hold is evaluated for the selected student in both student and parent sessions. If one linked child is held, the restriction follows that child; switching to another linked student uses the other student’s hold status.
What happens when a held student opens a restricted page?
The full student menu stays visible, and the same menu is shown when a parent selects that student. Opening a restricted page or submitting a restricted action redirects to My Finances in either session.
Can a held student still pay or view payment documents?
My Finances remains available for payment-related work. The student or parent can access invoices and receipts through the supported finance routes while the hold is active.
Does submitting payment evidence immediately clear the hold?
No. Payment evidence must be reviewed and posted by Finance before it changes the outstanding balance and hold state.
What can a parent review in My Finances?
For the selected student, the parent can review charges, payments, outstanding balances, fee notices, payment evidence, invoices, and available receipts. A submitted payment remains pending until Finance verifies and posts it.

Classroom Schedules

Who can create a class schedule request?
The Coordinator responsible for the Board or an assigned Class Coordinator submits the academic request from Class Schedules. Access is restricted to the assigned campus, Board, or classes. A Teacher account without the relevant Coordinator assignment does not receive general request-creation authority.
What must be ready before I create a class schedule?
Configure the campus, Board, academic class, active term, and Theory/Practical components with positive marks. Assign active teachers in Classes > Subjects & Teachers. Buildings and classrooms must be ready for Campus Admin allocation.
What information does the request contain?
Select Campus, Board, Academic Class, Academic Term, and the Effective Date Range, then choose a configured Theory or Practical component and its assigned teacher. Add optional meeting links and notes. The current form selects one component per request. Dates must be inside the term and cannot start in the past.
Who approves the schedule and allots the room?
Campus Admin reviews the submitted request in My Tasks > Class Schedules, assigns the start/end time, building, and classroom, and publishes it. This allocation/publication is the operational approval stage; there is no separate Coordinator approval after the Coordinator submits the request.
Why is the schedule still Pending Allocation?
The request has been saved, but Campus Admin has not finalized its time and classroom. It is not yet the final published timetable. Check with the Campus Admin assigned to that campus.
What happens if a room, teacher, or class is already booked?
Publication checks overlapping schedule dates and times for the room, teacher, and academic class. Campus Admin must resolve the conflict and complete every allocation row before publishing.
Who gets emails when a class schedule is submitted or published?
Submission emails go to Campus Admin users assigned to the campus. Publication emails and calendar details go to the assigned teacher and active students in the class with valid email addresses. A linked parent can receive the student copy when the active parent assignment resolves.
What does returning a class schedule do?
Campus Admin can return a pending or published request with a reason of at least 10 characters. The requesting Coordinator receives the reason and must submit a corrected new request. Returning a published schedule also cancels its active timetable entries and sends cancellation notices to affected teachers and students.
Can I move or cancel only certain class dates?
Yes. Use the authorized schedule override, choose Move or Cancel, and select dates inside the original schedule range. Only occurrences that have not started can be changed. A Move requires replacement location and time details; unaffected schedule dates remain in place.
What happens when the assigned teacher changes?
The previous and replacement teachers receive the relevant removal/assignment notices. For a published schedule, students also receive a teacher-change notice. Review the latest timetable and calendar information after the change.
Can I add Google Meet, MS Teams, or Zoom links?
Yes. Connect the intended account in Connect Apps, then generate links in the schedule Virtual Meeting step. A request can retain links from multiple connected providers. Final allocation timing is associated during publication, and links are included in the relevant schedule details and calendar information.
Does accepting a calendar invitation mark daily attendance?
No. Calendar invitations relate to the timetable. Daily attendance is a separate class roster that the Class Teacher completes in Academic > Daily Class Attendance and submits for review.
Where are the complete class-schedule instructions?
Read Create, allocate, and publish class schedules for the request, Campus Admin allocation, returned-request, change, and notification flows.

Daily Class Attendance

OCR for Schools supports a web-based daily attendance workflow with one roster per class and date, Class Teacher marking, whole-roster coordinator review, and email notifications for students and linked parents after approval.

Does OCR for Schools have daily class attendance?
Yes. OCR for Schools records one attendance roster for each class and date. The Class Teacher marks students in the web portal, the complete roster goes to a reviewer for approval, and email notifications are queued for the student and linked parent contacts after approval. Attendance is not recorded separately for each timetable subject session.
Who marks daily class attendance?
The assigned Class Teacher opens Academic > Daily Class Attendance, selects the class and date, and marks each student Present or Absent in the roster. The roster shows student profile pictures, names, and roll numbers. Attendance is entered directly in the web portal; there is no paper-sheet or AI-upload step.
What happens when a student has approved leave?
A student whose approved leave covers the attendance date is locked as On Leave and cannot be marked Present or Absent. This applies to approved full-day or half-day leave. On Leave is excluded from attendance totals; pending or rejected leave does not lock the student out of marking.
Who reviews a submitted attendance roster?
The assigned Class Coordinator reviews the complete class/day roster in Academic > Daily Class Attendance > Coordinator Review. The reviewer approves the whole roster or returns it to the Class Teacher with a reason. The teacher corrects a returned roster and submits it again for review.
Who approves attendance if the coordinator is also the class teacher?
An Institution Admin configures an independent Attendance Reviewer in System Settings > Attendance Policies. The school can choose institution-wide reviewer scope or campus-wise reviewer scope. The configured reviewer receives review requests for classes where the coordinator is also the submitting Class Teacher; a person cannot approve their own submission.
When are student and parent email notifications sent?
After the reviewer approves the roster, the system queues email notifications to the student and linked parent contacts with usable saved email addresses. Normal email delivery conditions apply. Submitting a roster does not send the approval notification.
How can staff see a student’s daily attendance history?
In Manage Students, open the student profile and choose Attendance. Review the current month, select a date range, or open Attendance graph to view the daily record across that period. The history uses approved daily rosters; approved leave is shown separately and excluded from attendance percentages.
Is examination attendance part of the daily class roster?
No. Daily attendance is one roster per class and date. Examination attendance remains a separate attendance record for each exam.
Where are the complete daily attendance instructions?
Read Daily class attendance, review, and student history for setup, marking, approved leave, reviewer policies, returns, notifications, history, and troubleshooting.

Event Management (15)

Answers for Coordinators, Campus Admin, students, parents, and Finance about the school event workflow.

Who creates a class-wide or campus-wide event?
A Coordinator creates a class-wide Academic event. Campus Admin creates a campus-wide General event. The event type’s category and scope determine which role can use it.
Where does a Coordinator create an event?
Open Academic > Event Management, select New Event, and complete the event form for the intended class.
How do I create an event type?
An authorized settings administrator opens System Settings > Event Types and selects New Event Type. Choose Academic with Class-wide scope for a Coordinator event, or General with Campus-wide scope for a Campus Admin event. Select the campuses where the type is available and optionally enter its default per-student fee.
Which audience fields appear for a school event?
For a class-wide event, choose Campus, then Board, then Class. OCR for Schools does not use a Programme selector. A campus-wide General event uses the campus audience and does not ask for Board or Class.
What schedule and details can I enter?
Enter an event name, choose the date range in one calendar field, and optionally provide both a start and end time. Add the venue, rich-text description, and relevant documents. If you provide only one of the two times, the form requires the other time too.
How does the event fee work?
An event type can store a default fee per student. If no default is set, the Coordinator or Campus Admin enters the amount while creating the event. A paid event creates an individual invoice for each eligible student; enter zero for a free event.
How do I apply tax to an event invoice?
Configure the relevant tax under System Settings > Taxes > Tax Applications for the Event Fee fee type, campus, and effective period. The event form has no tax picker; the tax application for that campus and charge date determines the invoice tax.
Who receives event emails?
The system queues event invitations to eligible students and their linked parents. If the event is paid, it also queues a per-student invoice email. Parent copies require an active student-parent link and a usable email address.
Does the .ics attachment accept the event for me?
The .ics file provides calendar details that a recipient can add or import. Gmail and Outlook may offer different calendar actions or RSVP controls. Using the portal’s Accept button and using a calendar-client RSVP are separate actions.
What does Accept do in My Events?
Accept changes to Accepted and clears the event’s unread badge in the student portal. It does not submit payment evidence, prove a calendar RSVP, or record attendance.
How do students or parents pay an event invoice?
Open My Finances, review the event invoice, and upload payment evidence. Finance must verify the evidence before the payment is confirmed and the account balance is updated. A receipt is then available in My Finances.
Why is an event missing from a student’s My Events page?
Check that the event was saved, its campus and class match the student’s active enrollment, and its event type was configured for that campus. A class-wide event is only for the selected class audience; a campus-wide event is for the selected campus.
How does Coordinator Feedback work?
After the event date, open the event’s three-dot menu and choose Coordinator Feedback. Add rich-text remarks for a student and optionally one picture. Saving feedback queues a notice to the student and linked parent.
Do attendance and marks settings create event registers?
No. Attendance Mandatory, Carries Marks, and maximum marks are event metadata in the current release. They do not create an attendance roster or marks-entry screen.
Where can I read the complete event instructions?
Read Create and manage school events for type setup, class and campus audiences, fees, email/calendar files, My Events, and feedback.

Transportation

Answers for Campus Admin, students, parents, and Finance about route setup, stop fares, student requests, approvals, payment confirmation, transport passes, and QR verification.

Who can request transportation for a student?
A student can submit a request from My Tasks > My Transport. A parent can also work in the selected linked student’s context and manage that student’s transport requests.
How does Campus Admin set up school transportation?
Open Transport Management for the campus, add vehicles, define route days and times, arrange stops with pickup/drop-off permissions and arrival details, and set effective cumulative fares for each stop and payment frequency. Institution-wide transport settings control available billing frequencies and request rules.
How is the transport fare calculated?
The fare is the difference between the cumulative fare at the selected pickup stop and the selected drop-off stop for the chosen billing frequency and service date. The estimate includes any applicable Transport tax.
What happens after a transport request is submitted?
The request appears in that student’s My Transport list and goes to the assigned Campus Admin for review. The student and a parent working in that student’s context can follow its status and any rejection reason.
What happens when a request is approved?
Approval creates a Transport Fee charge in My Finances using the quoted fare and applicable tax. The student or parent submits payment evidence from My Finances; Finance verifies it before the transport request becomes confirmed.
Can a student use transportation before Finance verifies payment?
No. Approval creates the payment notice, but service is confirmed only after Finance verifies submitted payment evidence. If evidence is rejected, the student or parent can submit updated evidence against the payment notice.
When can the student or parent download a transport pass?
After Finance verifies payment and the request is active, select the intended student, open My Tasks > My Transport, and choose Download Pass to download the PDF.
What does the transport pass QR code show?
Scanning the signed QR opens a public verification page with the current student, route, pickup, campus, vehicle, and pass status. Valid through and Paid on dates use the institution date format; an expired pass is shown as expired.
Does the selected billing frequency create recurring transport charges?
No. Each approved request creates one Transport Fee charge. The system does not automatically create the next charge; submit a new request for a later service period.
Where can I read the complete transportation instructions?
Read Manage school transportation for route setup, stop fares, student and parent requests, approvals, tax, payment, and troubleshooting.

Exam Creation, Approvals, and Venues

Who can create an examination?
Teachers create assessments for their assigned class subjects in Manage Exams. Class-wide examinations are scheduled by the Coordinator or Examinations Office according to the campus Examination Governance policy. Creating a new exam is not available from the teacher My Exams work view.
When does an exam need Coordinator approval?
A subject assessment needs approval when its exam type requires it. The request goes to the class Coordinator through My Approvals. Approval notifies the creator and starts student notifications; declining requires a reason and notifies the creator. Class-wide examinations instead proceed to Campus Admin time and venue allocation.
Can I correct a declined assessment?
The creator can correct and save a declined subject assessment for another approval review while editing remains permitted. Review the decline reason first. Past or cancelled examinations cannot be edited.
Why must I choose Theory or Practical?
New examinations are created for one assessment component. Only subjects with positive marks configured for that component can be scheduled. Class-wide exams require every eligible subject row. The component cannot be changed after creation.
Why is a subject or primary teacher missing?
Check the class subject configuration, the chosen Theory/Practical component, and teacher assignments. A class-wide subject needs a primary teacher assigned in Classes before it can be saved. Components with no configured marks are unavailable.
What does remaining marks capacity mean?
It is the available assessment allowance after existing allocations for the relevant class, subject, component, and exam type. Keep new marks within the displayed allowance, or ask the authorized academic administrator to correct the setup.
Who allots examination times, buildings, and rooms?
Campus Admin for the exam campus uses Exam Venue Tasks. The Coordinator or Examinations Office prepares subject dates and academic details; Campus Admin assigns start/end times, buildings, and rooms. Examinations Office authority alone does not grant venue-task access.
Why have students not received the class-wide exam timetable yet?
The final timetable notices wait until every subject has a valid start/end time and venue. Before that, Campus Admin receives the allocation request and the creator receives a submission confirmation. Check the venue status rather than assuming that saving the academic schedule sent the final timetable.
Is the suggested 90-minute exam duration compulsory?
No. The venue time picker suggests an end 90 minutes after the start when the end has not been manually set. Campus Admin must review and set the actual required duration. The end must be later than the start.
Can Campus Admin change a completed exam venue?
Yes, through reallocation while the subject has not passed its exam end time. Review the changed time/building/room, confirm your current password, and enter the six-digit code sent to your email. The system records the venue change and queues updated timetable notices.
Who receives the final exam timetable?
Active students receive their timetable and eligibility notice. Assigned teachers receive the subject rows matching their class-subject assignments. The Coordinator receives the full timetable confirmation. Linked parents can receive student copies. A student's calendar attachment includes allowed subjects only.
What happens when an examination is cancelled?
An authorized scheduler cancels it from Manage Exams. Examinations Office users can cancel only their office's schedules and must provide their password when prompted. Applicable students, teachers, and the Coordinator receive cancellation notices. Check personal calendars and remove obsolete manually imported exam entries.
Where can I follow the complete examination workflow?

My Exams, Eligibility, and Calendar Files

What is the difference between attendance eligibility and exam attendance?
Eligibility checks the student's recorded attendance against the required threshold before the exam. Exam attendance records whether the student actually attended the examination. An approved eligibility exception does not itself mark the student present.
Can a student below the attendance threshold still attend?
An authorized staff member can record a subject-specific exception with a reason and any supporting evidence, then finalize the eligibility review. The resulting notice distinguishes Allowed, Allowed by Exception, and Not Allowed subjects. An attendance exception does not remove a Financial Hold.
Why is my exam on Financial Hold?
The applicable school financial-clearance policy is blocking participation or actions. Contact Finance to resolve the outstanding clearance. A calendar entry or attendance exception does not override the hold.
How do students submit an exam response?
Open My Exams, select the correct academic class and assessment, and use Submit when the exam type requires a response. Upload a valid PDF within the displayed limit, currently 3 MB, add any description, and confirm. Reopen the record after the success message to verify the saved response.
Can a submitted PDF be replaced?
Use Update while it is available. Replacement requires an open deadline, no published marks, and no applicable action block. After marks are published or the deadline passes, the student cannot submit or replace the response.
Which submission deadline should I follow?
A regular subject assessment closes at 23:59:59 on its due date in the institution time zone. A class-wide response closes at that subject's scheduled exam end time. Follow the actual subject deadline shown in My Exams.
Who gets a submission or marks email?
The student receives confirmation when a PDF response is submitted or updated; teachers do not receive a separate alert for every upload. Published or changed marks trigger a separate student result email. Linked parents can receive the applicable student copies.
Why is marking locked for the teacher?
Where attendance is required, the teacher must save complete attendance for the eligible exam roster first. If the roster changes, review and save it again. Marking is limited to assigned class subjects; the Examinations Office scheduling role alone cannot enter marks. Absent students are restricted to zero.
How do I add the attached .ics file to Outlook?
Click the small arrow next to the .ics attachment and choose Add to calendar. Complete any confirmation, then open your calendar and check the dates, times, and rooms. For a class-wide examination, verify every included subject event.
How do I add a school timetable in Gmail or Google Calendar?
Use the calendar action displayed by Gmail for the message or attachment. If it is not available, download the .ics file and import it into your intended Google Calendar. Check every included subject and the displayed time zone.
Will an imported exam calendar file update automatically?
A manually imported exam .ics file is a fixed copy. Later emails do not automatically update that copy. Compare it with the latest portal timetable, correct or remove outdated entries, and avoid importing duplicate copies. Class meeting invitations carry update/cancellation information, but you should still verify the calendar result.
What if my email also has an Add all exams to Outlook button?
If offered by your school environment, this is an optional Microsoft calendar connection that synchronizes separate exam events. Follow its sign-in and consent flow, remove earlier manual imports, and do not also import the same .ics file. If the button is absent, use the attachment arrow > Add to calendar.
Does adding an event approve the exam or record attendance?
No. Calendar actions only manage your personal calendar. School approval, eligibility, attendance, student submissions, and teacher marking are separate portal workflows.
Where can I read the student and calendar instructions?

Employment HR, Teacher Contracts, Grades, and Tax

What does Employment HR do in OCR for Schools?
Employees assigned Employment HR manage the grade catalog, contract assignments, contract settings, amendments, and renewals from the top-level Hamburger menu > Employment & Contracts. Institution Admin access alone does not grant access to that workspace. Institution Admin continues to assign HR roles and manage the separate institution and campus employment policies.
What is the difference between institution-wide and campus Employment HR?
Institution-wide Employment HR can work across the institution's campuses. Campus Employment HR can be assigned to one or more specific campuses and can manage only those campuses. Neither Institution Admin nor Campus Admin access alone grants the Employment HR workspace.
How does Institution Admin assign the HR role?
Open the employee profile in Employees, confirm the portal account is linked, then assign Employment HR with institution-wide scope or select the campuses the employee may manage. Save the employee profile and verify the assigned scope.
Where does an HR employee open the contract workspace?
After the employee has an active Employment HR assignment, sign in with the linked portal account and open Hamburger menu > Employment & Contracts. The workspace shows the grade catalog, contract assignments, and contract settings permitted for that HR scope.
Can an HR employee issue a contract to themselves?
No. An HR user cannot assign, amend, renew, or rehire their own employment profile. Another Employment HR user with access to the relevant campus must handle that contract.
Does Campus Admin automatically get HR permissions?
No. Campus Admin and Employment HR are separate roles. Institution Admin must assign the Employment HR role and select its institution-wide or campus scope.
Who receives an unread badge when a contract is rejected?
Employment HR users assigned to the contract's campus scope receive the unread badge. Open Hamburger menu > Employment & Contracts > Contract Assignments > Assigned Contracts to review the rejection. Institution-wide HR covers every campus; campus HR sees only its assigned campuses. Institution Admin alone does not receive this workspace badge.
What does Policy Scope control?
Policy Scope selects the institution baseline or a campus policy that stores local differences. Appointment scope records whether the employee or teacher is institution-level or campus-level. Payroll responsibility controls which Finance team may process salary batches.
What information appears in a teacher or employee contract?
The contract can show school logo and address, employee and appointment details, designation, campus, department, grade and salary step, salary and frequency, workload, effective dates, allowed leave, terms, separate employee resignation and institution termination notice periods (in days, weeks, or months), and applicable salary tax and estimated take-home pay.
How can I accept and sign a contract online?
Sign in with your school email or username, open the profile icon > My Account > My Records, and select My Contracts. Review the offer, download the PDF, sign and upload it if required, then submit acceptance. If you disagree with a term, reject the offer with a reason and contact HR. Your employee ID works at login only if the school configured it as your username.
When is the signed contract PDF upload required?
The upload is mandatory when Employment HR enables signed-PDF acceptance in Employment & Contracts > Contract Settings. Download the issued PDF, sign it, and attach it while accepting. The signed copy is stored with the contract record.
Can every contract include standard school wording and an issuer signature?
Yes. An assigned Employment HR user can define the standard opening text and upload the issuer signature in Employment & Contracts > Contract Settings. The contract identifies the HR Department and school and shows the issue date.
How do contract amendments and renewals work?
An appropriately scoped Employment HR user creates a new effective-dated contract version, preserving the previous one for history. Contracts are not automatically renewed at expiry: HR prepares and issues a new offer, which the teacher or employee must review and accept.
Does the annual salary step-up happen automatically?
No. An appropriately scoped Employment HR user reviews eligibility, then saves a new contract version with the approved step, salary, and effective date. Promotions may also change grade or designation.
How does salary tax affect contract take-home pay?
The contract applies the effective tax schedule and can show progressive bands, taxable salary, tax withheld or paid by the school, and estimated take-home pay. It is an estimate; final payroll can differ because of unpaid leave, advance recovery, compensation, or later tax policy changes.
How can the school rehire a former employee or teacher?
After resignation, clearance, and Finance's final settlement are fully completed, appropriately scoped Employment HR opens Hamburger menu > Employment & Contracts > Contract Assignments, selects Rehire former staff, and prepares a new offer for the existing employee or teacher profile and linked portal account. The former staff member receives an email, signs in, reviews the new appointment and terms under My Account > My Records > My Contracts, and accepts it through the usual signed-PDF process. Acceptance reactivates the employment profile; the completed resignation and settlement remain in history.
When does HR receive contract expiry reminders?
The daily reminder process queues emails at two calendar months, 30 days, 15 days, and on the contract expiry date. It also checks the institution termination-notice deadline and a configurable preparation lead (default 10 days before that deadline). Reminders do not renew or end the contract automatically.
Where is the complete Schools employment guide?
Read the OCR for Schools HR, employment, leave, and payroll guide for detailed role instructions and workflows.

Staff Leave, School Payroll, and Employment Requests

How are employee and teacher leave policies configured?
Institution Admin opens System Settings > Employment Leave and configures leave type, weekly/monthly/yearly allowance, paid or unpaid status, half-day support, approver, and maximum request length. The contract links allowed leave types to the employee or teacher.
How do I request staff leave?
Open the profile icon > My Account > My Leaves, select a type permitted by your active contract, enter the dates and required details, and submit. The configured authority reviews the request. Use My Leaves to follow the status and remaining balance.
How is my available leave balance calculated?
My Leave Balances shows each leave type and its current weekly, monthly, or yearly allowance period. The table separates allowance and carry-in from days already availed, approved upcoming leave, pending requests, and remaining days. Approved dates up to today count as availed; future approved dates and pending requests are shown separately. If you have both employee and teacher profiles, select each profile to see its separate balances. The chart compares Taken, Approved upcoming, Pending, and Remaining against that leave type's own allowance plus eligible carry-in; leave without a fixed cap shows usage without a remaining-cap segment. It refreshes after requests are submitted, approved, rejected, or withdrawn.
What does the My Leave Balances chart compare?
Each bar is for one leave type and its current allowance period, with segments for Taken, Approved upcoming, Pending, and Remaining. A capped type is compared with its allowance plus eligible carry-in. A type without a fixed day cap shows recorded usage without a remaining limit. The period dates use the institution's configured date format.
How is unused leave carried forward?
The policy percentage applies to eligible unused leave after pending and approved requests. If 14 days remain and carry-forward is 25%, then 3.5 carry forward and 10.5 expire. Zero percent expires all remaining days; 100 percent carries all eligible days if the next policy and contract permit them.
Are Saturdays and Sundays counted when leave spans a week?
No sandwich rule is applied. Weekend days configured as excluded stay excluded even if the leave range includes weekdays before and after the weekend. Public holidays currently count because staff leave is not connected to the school holiday calendar.
When does payroll deduct unpaid leave?
Approved unpaid leave is deducted after the leave period ends. Any amount not deducted in one run carries forward. Payroll allocation prevents duplicate deductions for the same leave.
Who can process salary batches under Campus-level responsibility?
The Finance role assigned to each campus processes that campus's batch. Institution Admin can review closed runs but cannot process campus payroll under campus-level responsibility. Institution Payroll Finance is available for processing when policy responsibility is Institution level.
Does OCR run monthly payroll automatically?
No. Finance manually selects a permitted scope, supported frequency (monthly, half-month, 14-day, or 7-day), and completed pay period, previews the calculation, resolves issues, and closes the salary batch. A closed scope/frequency/period cannot be run again. Scheduled jobs send contract reminders and process queued mail; they do not run salary batches.
How is overtime paid?
If the employment policy allows overtime, approved hours are valued using the configured derived hourly rate and multiplier, then included in payroll when eligible. The default multiplier is 1.5 where used; the configured policy range is 1–5.
What salary items can be included in payroll?
An eligible batch can include active contract salary, applicable tax, approved overtime, extra-duty pay, visiting-teacher pay, annual or performance bonuses, ended unpaid-leave deductions, and salary-advance installments due. Performance bonuses are one-time approved awards, not permanent base-salary increases.
Does extra-duty pay increase a teacher's grade or step?
No. Extra duties are separately assigned compensation, such as a fixed amount or configured hourly, daily, or session-based pay. The duty payment does not itself change the employee's grade or salary step.
How is visiting-teacher pay calculated?
A visiting appointment can be paid by course, credit, lecture, hour, term, or a fixed agreed amount. Authorized staff review and approve the entry; eligible approved payments are included in payroll.
How is teacher salary handled during summer and winter vacation?
The applicable policy and contract specify whether salary continues, is annualized, applies only during term time, or uses a separate vacation appointment. Vacation alone does not pause or extend a contract; review the written vacation terms in the offer.
How does an employee request a salary advance?
Submit the amount and reason under My Account > My Salary Advances. Institution Admin reviews the request, then Finance approves and processes it, sets installments, and records the advance in the staff ledger. Payroll recovers due installments.
Where can I find payslips, salary ledgers, and reconciliation?
Employees and teachers open My Account > My Payslips. Finance uses Staff Salary Ledgers for earnings, tax, deductions, payments, advances, and balances, and Payroll Reconciliation to compare confirmed payments with closed batches.
How is final settlement salary calculated after resignation?
If the approved last working day is in the future, the case remains scheduled. When that date arrives, the assigned reviewer selects Mark Separation Effective in Employment Approvals to update the employment record and start the four clearances; if that date has already arrived when the resignation is approved, clearance starts immediately. Finance reviews a draft of salary owed through that date using saved salary contract versions and the effective proration basis in System Settings > Employment Policies > Final settlement calculation. The draft excludes dates already covered by closed payroll runs. Salary-continuing or annualized contracts follow their saved vacation terms; term-time-only and separate-appointment teacher salary is counted against school academic term dates.
How is an early resignation notice shortfall calculated?
The settlement draft estimates a deduction from final salary using the saved contract salary rate and calendar days between the approved last working day and the notice-compliant date. At resignation review, 0 Days waived before Finance review means no days are waived and the full shortfall is sent to Finance; waiving 4 of 14 days sends the remaining 10. Finance checks the estimate against the signed contract, policy, and applicable rules, documents the basis, and can reduce or waive the deduction before processing settlement.
Are outstanding salary advances deducted from final settlement?
The draft includes outstanding processed advances in the same currency as the contract as a proposed deduction from final salary. It cannot exceed the amount remaining after other deductions. Any advance balance left after settlement remains outstanding. Finance must resolve a different-currency advance before preparing settlement.
When can Finance process the final settlement?
Finance may enter other deductions with a reason and adjust calculated gross with an explanation. Net payable is reviewed gross earnings minus the documented notice-shortfall deduction, eligible salary-advance deduction, and other Finance-entered deductions. The draft does not rerun salary tax or unpaid-leave calculations, and variable or per-session pay is not prorated as fixed salary; Finance reviews those items and documents adjustments. A notice deduction is limited to its estimate and requires a documented basis. Payment can be processed only after the approved last working day and after all four clearance items are cleared or waived. Before processing, Finance re-enters its password and verifies a six-digit code sent to its registered email. Processing posts the settlement to the staff salary ledger and queues an employee update and a final-confirmation task.
Where do I choose who reviews resignations and experience letters?
Institution Admin opens System Settings > Employment Policies > Workflow and separation routing. The institution baseline can route requests to Institution Admin, Employment HR, Campus Admin, or Principal. A campus policy can save a local reviewer, and the selected reviewer route is saved with each new request.
How do I submit a resignation, and what happens next?
Open Profile icon > My Account > My Records > My Resignations, enter the requested last working day and reason, and confirm that you want to end your employment. Re-enter your current password and enter the six-digit code sent to your email; the request is submitted only after verification. One resignation can remain in progress at a time. The configured reviewer decides it; approving also requires the reviewer's password and email code. For a future last day, the assigned reviewer marks the separation effective when that date arrives to start clearance. Finance processes final settlement after the approved last day and all four clearances. The case then appears as Awaiting Finalization; the assigned reviewer re-enters their password and verifies an emailed six-digit code before finalizing it. Submission alone does not immediately disable portal access.
Why does a separation need finalization after Finance has processed settlement?
Finance processing records the final payment and salary-ledger entries, but the case remains Awaiting Finalization until its assigned resignation reviewer confirms closure. After the approved last working day, four clearances, and Finance settlement are complete, that reviewer selects Finalize Separation, re-enters their password, and verifies the six-digit code emailed to them. The final action records who closed the case and when; it does not create another payment.
What happens when a contract is ended by the school?
An appropriately scoped Employment HR user can schedule End Contract from Employment & Contracts when authorized by the Separation manager setting. The internal category and notes stay private; the employee receives the explanation and last working day. A scheduled end can be cancelled before it takes effect. Reactivation after Finance has processed final settlement requires Finance to reverse that settlement first.
How is an institution-led separation different from End Contract or resignation?
An authorized Institution Admin or scoped Employment HR user starts an institution-led separation for the employee or teacher across their employment relationship. End Contract affects one appointment and becomes effective through the daily contract-ending worker. Resignation is submitted by the employee or teacher and follows the configured reviewer route. A future institution-led last working day is marked effective by the assigned separation authority when that date arrives; clearance and Finance settlement follow. After Finance settlement and four completed clearances, the assigned authority selects Finalize Separation to close the case.
How do I request an experience letter and who approves it?
Open Profile icon > My Account > My Records > My Experience Letters, enter the purpose, and submit. The reviewer selected under Employment Policies verifies the recorded service history. The approved PDF has a QR verification page; Institution Admin can revoke the letter if needed.
What happens if my experience-letter request is rejected?
The reviewer enters the reason in the rejection dialog and confirms the rejection in a second dialog. The request remains marked Rejected in Employment Approvals for audit, and you can see the decision and reason in My Experience Letters. An unread badge is shown to the assigned reviewer when a request arrives and to you after the reviewer decides; opening the relevant page clears that badge.
What is the difference between My Records and Employment Approvals?
My Records contains only the signed-in employee or teacher's personal contracts, requests, and separation status. Employment Approvals is the separate reviewer queue for work routed to the user's Institution Admin, Employment HR, Campus Admin, Principal, or Finance scope. Requesters cannot review their own cases.
Where do resignation and experience-letter unread badges appear?
A new resignation or experience-letter request adds an unread badge to the assigned reviewer's Hamburger menu > Administration > Employment Approvals. After a resignation is approved, or an experience-letter request is approved or rejected, the employee or teacher gets an unread badge under My Account > My Records on the relevant tab. Opening the matching page clears its badge.
How can a reviewer find an older resignation decision?
In Administration > Employment Approvals > Resignation Approvals, use Filter by status to show awaiting-review, accepted, rejected, or another available state. Quick search narrows the list by name, employee ID, campus, contract, or reason. Accepted and rejected requests remain available for audit.
What if no assigned reviewer is available?
If the selected role has no active reviewer for that institution or campus scope other than the requester, the case falls back to Institution Admin. If there is no independent Institution Admin reviewer, the institution must assign another reviewer before the request can be submitted.
When are resignation separation reminders sent?
For a scheduled resignation, the assigned reviewer receives reminder emails one day before and on the approved last working day. Finance processing also queues a final-confirmation task for the assigned reviewer. Employment emails are queued for processing; queue status is not proof of inbox delivery. The email-queue worker and daily employment worker must run.
When does a resigning employee or teacher receive the experience certificate?
On the approved last working day, the daily employment worker generates the departure experience-certificate PDF and queues it as an attachment to the employee's email. The issued PDF is also available in My Account > My Records > My Experience Letters. The certificate email is scheduled for the last working day and does not wait for Finance's final settlement; the email-queue worker must deliver the queued message.

Student Separation and Readmission

How is a student's voluntary departure recorded?
The student or a linked parent requests a School Leaving Certificate through the existing school-leaving workflow. The school completes its verification, office clearances, and Principal approval there. Once departure is finalized, the lifecycle history links that outcome to the student's separated enrollment episode. Academic completion or graduation is not treated as a departure that can be readmitted through this workflow.
Do outstanding dues prevent a School Leaving Certificate request?
A student or linked parent cannot submit a self-service request for a student with an outstanding balance. The check applies to the selected student's account only: if a parent has several linked students, a balance for one child does not block a different child whose account is clear. Settle the affected student's dues through My Finances. Authorized staff can use the staff-managed request route.
When do Principals and students receive School Leaving unread badges?
The Principal assigned to the student's campus receives an unread badge at Hamburger menu > My Tasks > School Leaving Certificates when a request is first submitted and when the student resubmits it after corrections. The student receives an unread badge on School Leaving Certificates when the request is returned for correction, declined, or approved and issued. Open the request to review its details and the Academic Record, Finance Account, Library, Transport, and Accommodation clearances. If any clearance remains outstanding, the approval note must explain how it will be handled.
What character assessment appears on the certificate?
During approval, the Principal selects a required Character and conduct assessment: Excellent, Good, Satisfactory, Needs Improvement, Unsatisfactory, or Other. If Other is selected, enter the wording to print. The selected assessment is inserted into the certificate's statement about the student's character and conduct.
How does the Principal add a signature to certificates?
Open the profile menu, expand Settings, and select My Signature. Choose the campus and upload a clear PNG or JPEG under 2 MB; a transparent background is preferred. The image is scaled proportionally and saved for that campus, so configure each campus separately. A campus signature must be saved before a certificate can be issued for that campus.
What appears on the issued certificate and its QR verification page?
The PDF has the institution name and its configured logo and address as a letterhead, the student and departure details, the Principal's saved signature, and a QR code opposite the signature. Scanning the QR confirms whether the certificate is genuine and currently valid; the public page shows the student, school, campus when available, certificate number, issue date, and leaving date. It does not reveal clearance notes or account balances.
How is certificate handover recorded?
After issue, authorized school staff can record the recipient, delivery method, and handover date on the request. The student or linked parent can confirm receipt through the authenticated portal. Handover details appear in the request activity history, and dates use the institution's configured format.
Which date format should I use for a School Leaving request?
The School Leaving page displays and accepts dates in the institution's configured date format, including the requested leaving date and certificate handover date. Follow the format shown by the date field.
Who receives School Leaving Certificate email updates?
The student and linked parent receive queued email updates when a request is submitted, accepted into review, returned for correction, declined, or approved and issued. Delivery depends on the normal email service processing its queue.
How does the school start an administrative withdrawal or dismissal?
An authorized campus or institution staff member opens Hamburger menu > Administration > Student Lifecycle and selects New Separation Case. Choose Administrative withdrawal or Disciplinary dismissal, select the student and campus, enter the reason category, explanation, and effective date, then submit it for clearance. The case and decisions remain in the student's enrollment history.
Which offices complete separation clearance?
The workflow creates tasks for Academic Record, Finance Account, Library, Transport, and Accommodation. The assigned office records Cleared, Not applicable, or Outstanding; an outstanding item requires an explanation. The Principal can make the final decision only after all clearance tasks are cleared or marked not applicable.
Who approves a student separation?
The Principal assigned to the student's campus is the final authority for administrative and disciplinary separation cases. A case initiator cannot approve their own case. For a voluntary departure, follow the School Leaving Certificate approval route; the completed outcome is then linked into Student Lifecycle.
When is the student's portal access restricted?
A future effective date stays scheduled. When the approved date takes effect, the current enrollment episode closes and its term enrollment is retained as withdrawn history. The student can still sign in, but regular student pages are restricted; Student Lifecycle and My Finances remain available for readmission and payment tasks.
Can a parent still access the family account?
Yes. A separation applies to the selected student's access, not to the parent's entire account. The parent can continue using the Family Dashboard for other linked children and can select the separated child to submit or follow that child's readmission request.
What information is required for readmission?
The student or linked parent selects the target campus, an active academic term, and the requested grade or class, then provides the reason for returning. Options are limited to active records at the selected campus and institution. A readmission request can be submitted after a departure is recorded and while the institution has enabled requests.
Who receives and decides a readmission request?
Institution Admin chooses whether the initial completeness review goes to the target Campus Admin or Institution Admin. The target-campus Principal is the final approval authority. The intake reviewer starts the review; the Principal approves or declines with a recorded decision. The person who submitted the request cannot make its final decision.
How do readmission charges and payment verification work?
System Settings lets the institution set a one-time Readmission Processing Fee (0 means none), payment due days, refund eligibility, and refund conditions. Its tax treatment is configured under System Settings > Tax Settings. Applicable admission fees set for the selected grade/class, board, and term can also be charged. The notice appears in My Finances; Finance must verify payment evidence for every required charge before the request reaches the reviewers. A refundable setting does not automatically send money back; Finance processes approved refunds through the finance workflow.
Does the Principal's approval restore student access immediately?
No. Approval moves the case to placement pending. Campus Administration completes placement into the requested campus, term, and class. The system creates a new enrollment episode linked to the earlier departure and restores normal student access after placement is saved.
Who receives lifecycle emails, and how can staff audit actions?
The student, linked parent contacts, and relevant assigned staff receive queued email updates as the request, invoice, payment verification, clearance, decision, or placement changes. The case timeline records each action and the acting person's name; staff can open the person information card from an available actor link. Queued mail still depends on normal email delivery.
Where can I read the complete workflow?
See the Student Separation and Readmission guide for School Leaving Certificate requests, clearances, Principal approval, signature setup, QR verification, and the later separation and readmission flow.

School Roles and Other Workflows

Why does a menu item or action not appear?
Menus and actions depend on the account role, campus assignments, student enrollment, enabled school services, and workflow state. Contact the school administrator if an expected task is missing.
Can a parent see a student who is not assigned to their account?
No. Parents can access only students explicitly assigned by the school through a direct student assignment or an active sibling linkage.
Where can I find setup instructions?
Browse the OCR for Schools documentation for role, student and parent, schedule, finance, and school operations guides. You can also explore the Schools feature overview.
How do I contact support?
For help with a specific student assignment, account, or school workflow, contact the school office or administrator. For portal support, email [email protected] and include the school name, account role, affected page, and a short description. Do not send passwords or payment card details.
