My Exams changes with the signed-in role. Students see their own examination work and available details. Teachers and Coordinators open a staff view scoped to their assigned class subjects. New examinations are created in Manage Exams.
A parent uses the selected linked student context for available student services. Always confirm the selected student before reviewing exam details or submitting a response.
Before you begin
- Use your own student or staff account; parents must select the correct linked student.
- Read the examination instructions and confirm the deadline and eligibility.
- Prepare a valid PDF within the displayed size limit only when a student response is required.
Student examination and submission flow
-
Select the correct academic class
Open My Exams and choose the academic class offered for your student record. Review the list, status filters, and search results. Historical or read-only views do not grant permission to submit work for a previous class.
-
Review the examination details
Check the exam title and type, Theory/Practical component, subject, teacher, date or deadline, total marks, instructions, and the available timetable/venue details. Check eligibility and Financial Hold notices before preparing a submission.
-
Determine whether a response is required
A PDF response is available only for an exam type configured to require student submissions. A scheduled in-person examination does not automatically require an upload. Use the instructions and action shown for that exam.
-
Submit a PDF when requested
Choose Submit, select the completed PDF, add any description requested by the form, and confirm the submission. The current PDF upload limit is 3 MB. Wait for the success message, then reopen the record to confirm the saved response.
-
Replace a response while permitted
Use Update when available to replace the saved PDF. Replacement is allowed only before the deadline, before marks have been published, and while the exam and student remain eligible for the action. The latest successful upload becomes the recorded response.
-
Check confirmation and results
The student receives an email when a response is submitted or updated, with applicable parent copying. Submission confirmation does not mean the response has been marked. Check My Exams for published marks and the result information available for that assessment.
Completed means the response is saved. Once the deadline passes or marks are published, the response cannot be replaced.
Student statuses and action locks
- Pending: work has not yet been submitted and the action may be available, subject to eligibility and deadline checks.
- Completed: a response has been saved; this does not by itself mean the exam has been marked or passed.
- Locked: the submission deadline has passed.
- Financial Hold: the applicable financial policy blocks the action until the school resolves clearance.
- Cancelled: the examination has been cancelled and is not available for submission.
- Marks already published: a response can no longer be submitted or replaced, even if the date has not passed.
Which deadline applies?
For a regular subject assessment, submission closes at the end of the due date, 23:59:59 in the portal institution time zone. For a class-wide examination response, the deadline is that subject row's scheduled end time on its exam date.
Use the deadline displayed for the actual subject. Do not assume all subjects in a class-wide examination close at the same time, and do not use a device time-zone difference as an extension.
Teacher and Coordinator My Exams
Teachers and Coordinators open the staff My Exams view to work with exams in their assigned teaching scope. It does not provide institution-wide editing access. Creating or cancelling an entire schedule belongs to Manage Exams.
Where the subject editor is available, it is restricted to the teacher's permitted subject assignment. Review any resulting eligibility or notification prompts. Use the Coordinator or Examinations Office workflow for broader academic schedule changes and Campus Admin for venue allocation.
Record exam attendance and mark responses
- Open the assigned subject and its attendance action when the exam type requires attendance. Verify the eligible roster for that exam.
- If using a printed attendance sheet, generate the current subject sheet, record attendance, upload the completed sheet for detection, and review the detected rows before saving. A scan alone does not replace final confirmation.
- Complete attendance before entering marks where it is required. If eligibility changed after attendance was saved, review and save the roster again.
- Open Marking for your assigned subject, review submissions where required, and enter marks within the subject maximum. Absent students can receive only zero. Where a response is required, a missing submission after its deadline is also recorded with zero through the marking workflow.
- Save and confirm marks through the supplied workflow. Students receive marks publication or update emails. A scheduling-only Examinations role cannot perform teacher marking.
Why is an exam or button missing?
- Confirm the account role, selected student, and academic class.
- The examination may still require Coordinator approval, time/venue allocation, or publication.
- The exam type may not require a PDF response, so no Submit action is expected.
- The deadline may have passed, marks may already be published, or the exam may be cancelled.
- Check attendance eligibility, approved exceptions, Financial Hold, and the teacher's subject assignment with the relevant school staff.
Submission and result emails
A successful PDF submission or replacement queues a confirmation to the student. The school does not send a separate teacher alert for every response upload; teachers review work through their exam tools.
Marks publication and marks changes have separate student emails. Linked parents can receive student copies. If an email is delayed, first verify the saved submission or result in My Exams before attempting another upload.
