Timeline & reminders

The system will queue reminders to the institution focal-person email every two days beginning when 15 days remain, then daily during the final five days, leading up to 22-12-2026. Reminders stop when regular service starts.

Billing & continuity

• Students may use the education portal through the trial end date even if they have an outstanding OCR Portal Billing invoice. They can review those invoices in Student Portal Billing during the trial.
• After the trial, the institution focal person using the institution’s registered email address can start regular service by accepting the current Terms of Agreement. Until then, wider portal access is limited to that focal person; students can still open Student Portal Billing to pay their OCR invoices.
• Accepting the agreement starts regular service immediately. The system will queue an email to every student explaining their 72-hour window to pay outstanding OCR Portal Billing invoices. After the deadline, students with unpaid Portal Billing balances are restricted while staff access remains active.
• The agreement governs OCR Portal Billing only. Institution-issued fees, fee batches, My Finances, and payment evidence remain under the institution’s own processes.
• Your data is retained for 30 days after the trial ends. If you renew within this window, all data remains intact.
• If the focal person does not start regular service within 30 days after expiry, data is permanently deleted in line with our data handling policy.
• Taxes & charges: All amounts are exclusive of any applicable taxes (e.g., VAT, GST, sales tax). Client (you) is responsible for all taxes, duties, and any bank, transfer, foreign exchange, or payment processor charges imposed by your jurisdiction or provider.
• Logos & trademarks: Any logos, trademarks, or branding uploaded by the subscribing institution are provided by the institution and remain its responsibility. The institution represents that it has the necessary rights and permissions to use and upload such materials and authorizes OneClickRooms to display them within the service. OneClickRooms does not verify ownership and is not responsible for any infringement or related claims arising from customer-provided branding.
• No institution subscription payment is required during this trial. Student Portal Billing invoices are separate and remain visible on each student account.
